Overview

Implementation of a task management and action tracker tool for audits for the education and catering sectors.

Educo is a leading educational consultancy firm that collaborates with various client schools to enhance educational standards. Part of their process involves outsourcing auditors who assess school operations and recommend action points for improvement. To streamline this process, Educo required a simple system, Educo Action Tracker (EAT), to efficiently manage, track, and update action points among Educo staff, client schools, and contractors.

Objective:

Develop and implement a streamlined system, EAT, that allows Educo staff to include outsourced auditors to update an action list with tasks, start date, and target end date. Client schools and contractors should be able to update when an action point is completed, with automatic notifications sent to all parties involved.

Solution:

Educo Action Tracker (EAT) was developed with the following features:

Educo Staff and Auditors can create and update action points with tasks, start dates, and target end dates.

Client Schools and Contractors can update action points upon completion.

Text and email notifications are automatically sent to all involved parties (school, contractor, Educo) when an action point is updated or completed.

A centralised dashboard for Educo staff to monitor the progress of all action points.
Reporting tools for generating status reports and identifying bottlenecks.

A simple and intuitive interface that allows users to easily navigate and perform required actions without extensive training.

Role-based access control to ensure only authorised users can access or modify data.
Secure login and data encryption to protect sensitive information.

Conclusion:

The implementation of the Educo Action Tracker (EAT) successfully addressed the challenges of coordinating multiple parties and ensuring real-time updates and notifications. By providing a user-friendly and secure platform, Educo has significantly improved the efficiency of managing and tracking action points, ultimately enhancing the quality of their consultancy services to client schools.
